MAIN FUNCTION: Primary responsibility is to be well-informed on the Independent Living lifestyle at WP and be able to communicate this information to prospects, family members, residents, and other employees. The position functions as a conduit of information between inquirers, the Marketing Department, and other departments by completing various tasks that enable the Sales Staff to meet/exceed budgeted occupancy.
REPORTS TO: Director of Sales & Marketing and Director of Environmental Services.
ESSENTIAL DUTIES:
Administrative support duties as necessary for the proper funcitioning of the Sales and Marketing Office including but not limited to:
– Sales – Receive new leads from website and mailings, post to Enquire database, and distribute these leads to Residency Counselors.
– New Residents – Coordinate property upgrades with Facilities Management; initiate, gather, and process in coming resident paperwork; complete data entry in My Unity software.
– Event Planning – Work with campus departments for scheduling of space, planning refreshments, and addressing additional details to make prospective resident events organized and smooth flowing.
– General Administrative – Distribute calls to appropriate Residency Counselor or other campus departments; become proficient with Enquire software program to do data entry, create mail merges, and run reports for department use; keep inventory of clerical supplies, forms, promotional and contractual materials; assemble brochures and application packets on a regular basis.
Conduct inspections in apartments, townhomes, and cottages and report findings to Residential Construction Manager.
Ability to manage site inspections using a check list to include: operable and satisfactory conidition of dwelling (living room, wash room, kitchen, etc.).
– Compliance – Is aware of Presbyterian Homes Corporate Compliance policies including those having to do with confidentiality and security of information and concern for the well-being of residents and patients. Demonstrates behaviors and completes work in a manner consistent with these policiies.
EDUCATION: The minimal education requirements to perform the essential duties include a high school diploma.
QUALIFICATIONS: Detail-oriented; people, communication and organizational skills ; able to multi-task and exhibit strong computer skills; knowledge of and proficiency in Microsoft Office highly desirable.
